Looking for GDPR complaint mail/app suite hosting

Yes, I'm still alive! Have been ill (long covid unfortunately) early this year and started working at a new job a few months ago. So, had different priorities. But I'm still here. My current priority is a very small chicken.

I'm looking for mail hosting for a club I'm member of. Usually, I'd go to MXRoute, but it has to be GDPR compliant as the club handles sensitive (personal) data.

Sooo, what are they looking for?

  • At least 20 mail accounts on one domain
  • Storage at least 100GB (total)
  • Shared calendar and address book
  • Other groupware options, like shared drive or office tools are optional
  • Hosted in Europe (host uses Euro as currency) and GDPR compliant

Hope the wisdom of the Low End crowd once again points me in the right direction.

    Not sure if Migadu is GDPR compliant, but they are Made in Switzerland (DACH and Switzerland is known for privacy) and were very popular among forum members here iirc:

  • Why not choose to build your own email system? As long as your server hardware meets the requirements, it can meet the needs of thousands of people. Currently, I have built my own email system that has served nearly 4000 people, and there have been no problems so far.

    AllInkl is a premium provider. Used them for years. No complaints.

    Building and setting up servers is fun. Maintaining them can also be fun, but when people rely on it, it will become a job. I used to host my on web server (also for friends and family)m but quit that because it simply cost me too much time. Maintaining a mail server will probably cost me some more time.

    Yea, very good. I’m hosting some websites with them. Very prem.

    Still a bit on the fence wether to choose a hosting provider and just use the mail bit (and host a small website) or go for a mail holster with some more groupware options. We’re getting there.

    If sensitive, just use something like Mailinabox on a vm! They retain ownership of the data and have full control!

    Outside of that, I'd genuinely recommend looking at some of the bigger companies from the UK/EU :)

    Wow, that's long. I was with them for 6 years iirc. Left because I grew too used to cPanel back then and providers started additional daily backups with JetBackup, which I found to be a nice, convenient addition to my offsite backups in case I wanted to quickly restore a previous state.

    Maybe I am mistaken, but it seems like their prices haven't changed since I last used them, which was many years ago. To be fair, they had more sustainable prices than LE providers to begin with. But this just goes to show their stability.

    the prices and equipment have remained more or less the same for years. i hope they have adjusted the hardware every now and then... unfortunately, all-inkl doesn't comment on hardware details. all-inkl isn't cheap, but it's not overpriced either. however, it's super stable and already a major player in the german-speaking world. however, the administration area (their own development) is always subject to new features and adjustments. support always responds promptly and so far all the few problems have always been solved.

    but you are right, all-inkl is not necessarily les / let.

    Agree. Still, their pricing is actually pretty great, still. Not LE, but you are getting 5 free domains included in the PrivatPlus plan for 7,95€/mo, which is the plan I used to have. Plus a 24/7 hotline and other cool stuff. But, yeah. Last time I used the KAS cp it looked rather old, and I missed things like Softaculous, Daily Backups with JetBackup (or backups that are made accessible at all..), and some other stuff, which is why I ultimately moved.

  • We ultimately went for inbox.eu, because they offered everything the organization needed for a pretty low price.

    have you compared inbox with migadu? can you create multiple domains with inbox? what convinced you with inbox and put you off with migadu?

    are .lv domains reputable? for 12€ they are offered by nic.lv. are .lv whois data protected or viewable? @debaser @domainspecialists

    Tutanota or Proton should do the trick for you, afaik both are GDPR compliant and offer business plans and nice calendars.

    Business, so on our own .nl domain. What made the deal was just bang for buck. Each account has 100GB storage, drive functionality, calendar. So no deeper reasons than that.

    Is it the best option? Don't know, but it's mail and files, so it's not hard to migrate either.

    Proton does through a bridge which has to be installed on a client PC.
    Tutanota doesn't offer something like that at all, sadly.

    Both providers have very nice in-house apps though.

    inbox.eu fits all your mentioned above needs?
    i find nothing on their website about shareing calender & addressbook. thats a option i am looking at, too.
    20 mail account on one domain means 199,80€ / year, correct?

    Partly. Not the optional groupware stuff, but it has document and file sharing.

    You can share calendars (which they only explain in Latvian) but not address books. You can, however, import address books so that was my workaround.

    Correct. Currently, we have 16 accounts. This scheme makes it a bit more flexible for us.

    Have you checked Google pricing? I believe their business plans aren't that expensive and are GDPR compliant(datacenters in eu and other shit).

    Zoho has plans that are GDPR compliant as well.

    The way I see it, GDPR is, among other things, a massive centralization and control effort by the EU.

    Regarding the privacy, there are several options:

    • Protect user privacy without satisfying all the GDPR bureaucracy.
    • Satisfy GDPR bureaucracy without really protecting the user privacy (i.e. using any major "players" like Google, Cloudflare etc. - hell, even allowing the use of your services via smartphones could be considered a privacy risk).
    • Protect user privacy while also satisfying the GDPR - that leaves you with a very short list of options.

    Hetzner. In Germany.
    Self host everything.
    Write all the software from scratch.
    Pay an arm and a leg for lawyers, security auditors, and pen testing.
    Pay by a house by the sea for a review on BikeGremlin.
    Do not use or accept any card payments.
    Do not use or allow any smartphone connections.
    Cut your losses and declare bancrupcy.
    Get a job at a big corporation (GDPR compliant, of course, with all the inclusion, transparency and "we are all one big family" thing).
